Access Control Office

The Access Control Office is located in the Campus Safety Building, 245 College Street. Office hours are Monday through Friday from 8:30 am to 4:00 pm.

  • All requests must be submitted using the key request forms linked below. In person, or paper/emailed requests will not be accepted.
  • Please be aware it may take up to 48 hours for your request to be processed.
  • For Bates faculty, staff and student employees use this form. The requestor must provide accurate First & Last names as well as Bates ID #’s for all individuals in the request.
  • All others, such as vendors, volunteers, etc. use the Key & Card Access Request Form for Non-Bates Community Members.

Once you receive notification your request has been approved and key(s) are ready you can pick them up at the Access Control Office, 245 College Street, Monday through Friday 8:30am-4pm.

Bring your Bates ID.

Before picking up your key, you must have completed the Key and Card Access Request Form and the request must be approved by your supervisor.

If a key is lost, it must be reported to the Access Control Office or Campus Safety immediately (24/7). Students must request a replacement key at the Access Control Office.

Pick up: You will receive an email when your key is ready to be picked up at the Access Control office.

Fee for replacement: A $120 fee will be charged to your student account for each replacement key.

If a key is lost, it must be reported to the Access Control Office or Campus Safety immediately (24/7). Faculty/Staff will need to submit a key request to have a replacement key made. This will need to be approved by the Dean of Faculty Office for Faculty or the Head of the Department for Staff. Please add in the request comment box that it is to replace a lost key.

Pick Up: You can come to the Access Control Office after 9am on the next business day to pick up your key.

Fee for replacement: A fee will be charged to your department for each replacement key. Please refer to this page under the overview charges tab for costs associated with each key.

If you lost your Bates ID, report it immediately to Campus Safety, A temporary card can be issued by Campus Safety valid for 2 business days. The temporary card will have the same building as your Bates ID.

If you are unable to find your original Bates ID please report the lost card on the Garnet Gateway as soon as possible. After logging into the Garnet Gateway, select the Account and Access option at the bottom right of the window. Scroll to the bottom of the selection for Security and select Bates ID card. Click on Replace: Lost/Stolen/Not Working. From the drop down menu, select whichever applies. Lost, Misplaced, Not Working or Stolen and add any information you think would be helpful.

You can also report your Bates ID lost, stolen or not working in person at the Access Control Office. Office hours are Monday through Friday from 8:30 am to 4:00 pm. Outside of the office hours, report your Bates ID Card lost or stolen to Campus Safety so a temporary card can be issued.

Pick up: Visit the Access Control Office after 9:00 am on the next business day. You are required to return the temporary card at that time.

Fee for replacement: A $25 fee will be charged to your student account for each lost Bates ID. A $10 fee will be charged for each temporary card not returned.

Key Return

Please return all Bates keys before you leave campus. Keys must be returned to the Access Control Office. Key drop off is available 24 hours a day, a key drop box is available at the Access Control counter inside the Campus Safety Building.

You are responsible for returning your keys at the end of your school year. Do not leave keys in your room. Do not expect someone else to return the keys for you or give the keys to someone for their use.

Room keys arriving after June 10 are not eligible for a credit to the student account. All lock changes have been completed or are scheduled at that time.

If you forgot to return your keys before you left campus: please contact the Access Control Office at AccessControl@bates.edu. The keys may be mailed to: Bates College Access Control Office, 245 College Street, Lewiston, ME 04240. Please use a padded envelope so the keys do not tear through the envelope while in the mail system.
