End of the Year Information: Moving Out Edition
End of the Year Information
And in the blink of an eye, it is your last week on campus. With saying goodbye to friends and finishing up finals, you may forget some important tasks to do before you leave campus. We have gathered information from different campus departments here. Please connect with their website for more specific details.
Move out on time
Know when you will lose access according to the residential calendar:
- Students not staying for Short Term: Tuesday, April 23, 2024, at 5:00pm
- Short Term non-seniors: Thursday, May 23, 2024, at 5:00 p.m.
- Short Term seniors: Sunday, May 26, 2024, at 5:00 p.m. (Commencement Day)
Exceptions
Our office will only approve exceptions for specific circumstances. We would extend access for 24 hours. Petitions are approved on a rolling basis and you will receive a follow-up email from us. Please note that extended housing access does not mean extended access to Commons. Please see their hours of operation for info on the meal plan.
- Travel booked for the following day for students with longer journeys
- Non-seniors with graduating siblings
- Students remaining on-campus for the beginning of or the whole summer
- Students facing extenuating circumstances
Can I stay and watch graduation?
All non-seniors will lose access to their housing on Thursday, May 23, 2024, at 5:00 p.m. The only exceptions are noted above and students must petition for this. Access will not be extended for any student to watch graduation. An extension of housing access does not permit an invitation to graduation ceremonies or senior week events. You should consult the Commencement page for event and schedule questions.
Bike and Summer Storage
Important reminder for students regarding no summer storage and procedure to store bicycles over the summer.
Bates is returning to our normal policy of not providing storage over the summer period for student goods. Students should plan on removing all goods from storage areas, as we will be cleaning out storage areas of all goods and donating them to the annual clean sweep sale to benefit local Lewiston area charities. Students are encouraged to plan ahead and use available commercial storage options or simply take their goods home with them. Items in student storage will be removed and donated in advance of Clean Sweep. Any items remaining after June 3rd will be considered abandoned property.
Any student desiring to store a bicycle on campus over the summer is welcome to do so. We know there are numerous abandoned bicycles on campus and request students adhere to the following procedures so that we may remove abandoned bicycles from campus bike storage areas. Students should store bicycles in any of the authorized bike storage locations, but must place a tag or label on the bicycle with their name, class year, and cell number. Bicycles without a tag or clear label will be removed and donated to the clean sweep sale to benefit local Lewiston area charities. Bikes need to be tagged and placed in an approved summer storage location no later than June 3rd to avoid being donated to Clean Sweep. Green tags will be placed in each of the bike storage areas listed and will also be available from Facility Services.
What to do before you depart campus
Store your items
There is no storage available on campus during the summer. Students and families may contract with Dorm Room Movers for a full-service pickup, storage, and drop-off in the fall. Students may also see the Facility Services website for a list of local storage facilities. Students often share a space with others. Items left in on-campus storage spaces will be considered abandoned and donated.
Donate
Students are encouraged to donate their items to Clean Sweep. The popular event raises money for charity and helps Bates reach its sustainability goals. In a common area of each house and hall, there are signs that designate an area for donation items. Clean Sweep will take any items that are not bedding, mattresses, or obvious trash. Do not leave donations in hallways or in your room. Local volunteers help move items to the event, so items must be in a central location in each building.
Take out the Trash
Take your trash and unusable items to the trash area. Anything left in a room trash can, on top of a room trash can, in a trash bag, or in the hallway is considered trash and will be disposed of. If you have large broken items please throw them out to avoid charges. Useable non-bedding items should go to clean sweep.
Clean
Ask your custodian for trash bags, brooms, or vacuums to make sure your room has been left in “broom clean condition” meaning:
- free of all debris
- free of personal effects
- swept clean after their belongings have been removed
Return your Key
You should return your key to Campus Safety before you leave to avoid late or re-keying fees. You should not leave your key in your room or give it to a friend to return. Check the Access Control website for information on the fees associated with not returning your key on time.
Return your library items
Make sure you return your library books and media to stay free of fees. You can see the Fines & Replacement costs on the Library website.
Complete Checkout on HouseCat
Only if you have completely moved out of your room space for summer or a different approved reason, should you complete the Check Out form on HouseCat. This not only alerts the Housing Office that you have vacated your space, but it allows our Facilities and Custodial teams to access the newly vacant space and prepare it for the next wave of housing needs.
