BOC Leadership Meeting Minutes: October 2, 2024
Protocol Updates!
- New calendar:
- Put your trips in!
- If the van is green; available (AM/PM tells when/who its available)
- Van use is first come first serve, trying to avoid overlap
- If you want to run a trip but still need a co-leader; can put that in the calendar!
- This is amazing! We have so many trips going out! Woohoo!!
- New trip organizing protocol:
- Make sure to put your thing/all info in the calendar/check if van is available → Email OPM’s telling them → they let you know all is well → can put on Bates Engage + commons orders/all else needed
- Minimum time to put something on Bates Engage is 2 days within its happening
- → Make sure to have things on Bates Engage early!!
Bates Engage stuff
- Catie contacted Bates Engage about issues with emails/delays with Bates Engage → they don’t know what’s wrong (womp womp)
- Trip Leaders: Put our trip cancellation policy in Bates Engage!!
- Then you don’t have to email people extra
Other updates/things:
- One more spot for WFA training if anyone needs theirs recertified
- EVO trips
- Strongly recommend belay experience (don’t need to be certified at EVO but do need to be able to prove you know how)
- Van key drop off system outside Catie’s Office
- If you need a credit card for gas it’s in there already as well (w/ envelope for receipts)–> can drop off after
- Cannot scan into campus life on weekends ← make sure to pick up before weekend/coordinate a different spot? Outside of E-room?
- Will have old fashioned sign-out sheet that must be filled out (where/who has keys when)
- If you want to run canoe trip talk to Catie or Hayden to get trailer trained
- OPM’s meet with Catie weekly on wednesday afternoons; ask them if you want them to ask her anything

Fun little trips for leadership team/trip leaders
- There’s an island close to riverlands state park – canoe, camp out on the island (first come/first serve camp spot)
- People drive their own vehicle; we send from personal email accounts (not through Bates Engage, not Bates funded)
- Students can’t drive their own personal vehicles for a BOC funded/affiliated trip
- Cannot be funded with your own personal car
- Can’t take canoe trailer with personal car
Do we want more intense outings to be available to everyone in the club? (Heidi)
→ Yes, in general we have to trust that people will show up for serious commitment events especially when other non-bates community people are involved
Are going to be doing the same no/show policy for community engagement things as well
Who wants to help with halloween/candy handing out? Heidi will send out an email!
Have activities other than just candy too? Fairy houses/cornhole/little field games
How to have trip leaders/leadership everyone in contact with each other?
→ Slack!! (super secret for leadership to join)
