BOC Equipment Room Policies

  • All rentals are free of charge
  • All rentals are limited to a maximum of 1 week from date of rental.
  • The renter assumes all financial responsibility for lost, stolen, or damaged equipment.
    • Damage that happens when using gear in an appropriate manner and regular wear and tear are not subject to charges
    • Any gear charges will be billed directly to your student billing account with the college
  • The E-Room is not responsible for any injury caused while using gear. By checking out gear from the E-Room, you assume responsibility to rent gear that you are familiar with and to use gear according to manufacturer’s recommendations.

Items may be renewed at additional 1 week intervals for no additional deposit granted that the following procedure is followed:

  1. The item(s) must be returned to the E-Room in the first 15 minutes of the rental hour.
  2. The item(s) must be made available for rent by someone else for 30 minutes.

If still available, the item(s) may be rented for another week in the last 15 minutes of the hour.

All gear orders are due back one week from the day of checkout, unless otherwise noted and agreed upon with an E-Room Manager. After one week has passed since the checkout date, a gear order is considered late, and the following policy applies. 

Warning 1 – Individual is emailed within 24 hours after gear was due and advised to return gear at earliest convenience. Late gear warrants a probationary period of 1 week of no checkouts.

Warning 2 – Individual is emailed one week after gear was due, and notified that if gear is not returned in 2 weeks since the return date, they will be charged the full replacement cost of the order.

Warning 3 – Individual is given a final warning three weeks after gear was due, and individual is charged replacement cost at the end of that week on Friday.

*Replacement cost charge must be completed by Associate Director of Outdoor Education & Programs and is done at the request of the E-Room Managers.

**exceptions may be made if an individual is unable to return gear due to unforeseen circumstances

For very specific equipment (only canoes as of 9/18/24) a long term loan may be authorized by the E-Room Managers. The individual must sign this agreement at E-Room Hours which includes their expected date of return. If individual check out interferes with an outing club trip, the individual will be expected to return the item as soon as feasible.

Who, What, When:

  • If you have your own waxing equipment, you are free to use our waxing area DURING E-ROOM HOURS (you must be done by closing).
  • If you do not have your own equipment and know how to tune skis, you may use our materials on the condition that the BOC Waxing Protocol is followed.
  • Any individual who violates the BOC Waxing Protocol may be barred from waxing skis in the E-Room.
  • If you do not know how to wax and tune skis, please come by during hours or contact the E-Room at boc-eroom@bates.edu to drop off your skis and schedule a pickup time.
  • **we are not currently setup for waxing and tuning snowboards

The following safety precautions must be followed:

Look Good

  1. Proper PPE must be worn at all times
  2. EX: Eye protection, close toed shoes, apron

Have Fun

It is impossible to have fun if you burn the E-Room to the ground. Hence, 

HOT STUFF 🚒

  1. UNPLUG IRONS ANYTIME NOT ACTIVELY IN USE
  2. NEVER LEAVE A HOT IRON UNATTENDED
  3. ALWAYS SET IRONS UPRIGHT ON AN EVEN SURFACE

It is also impossible to have fun if you cannot breathe.

  1. Ventilation – Turn on the bench fan
  2. Avoid burning wax containing PFOA and other fluoro products

Safety Third

  • Double and triple check that the iron has been unplugged
  • SWEEP da floor and VACUUM da bench
    • The floor beneath the bench aspires to be as slippery as the skis waxed here and will become a hazard if not cleaned regularly 🙂
  • Put all items away before leaving the area

When in doubt, ask a present staff member to assist you. E-Room staff duties during open hours do not include teaching people the basics of waxing and tuning so it is essential that each individual comes with their own knowledge and experience with ski care
